Apple Day Artist Volunteer FAQ

This FAQ is designed for volunteers serving during artist load-in, artist shuttle, artist liaison, or stage hand.

What is the schedule for Apple Day?   

Friday, September 16th 2022 

  • 6:30 AM:  Block captains and artist set-up crew arrive 
  • 7 AM- 11 AM: Load-in of artists and food trucks
  • 10 AM- 1:30 PM: Set-up crew arrives and finalizes event setup
  • 11:15-1:15PM: Fire inspections
  • 2 PM: Show opens, Modus Advisors Beer Garden opens, No Stone Unturned on Bridgewater Bank Apple Day Stage, Lakes Area Realty Kid's Corner opens
  • 4:15 PM: Shalo Lee on Bridgewater Bank Apple Day Stage
  • 6 PM: Show closes
  • 6:30 PM: Mark Miller Band on Bridgewater Bank Apple Day Stage
  • 8:45 PM: Sawyer's Dream on Bridgewater Bank Apple Day Stage

How does load-in work? 

*Maps are attached to this form for your reference*

FOR BOOTHS 1-44: Load-in will be from 7-7:45 AM. Please do not arrive earlier than 7 AM or you will not be allowed in the event area. 

FOR BOOTHS 45-77: Load-in will be from 8-8:45 AM. Please do not arrive earlier than 8 AM or you will not be allowed in the event area. 

INSTRUCTIONS: 

Entering the event area from MN-7 East. Take the 2nd Street Exit off of MN-7 East. Follow 2nd Street to Water Street. Captains in orange vests will guide you with directions and direct you to your booth locations.

Entering the event area from MN-7 West. Use the 2nd from the left turn lane to turn onto Oak Street (near Excelsior Elementary). Turn right onto Water Street. Turn left onto 3rd Street. Turn right onto Center Street. Turn right onto 2nd Street. Captains in orange vests will guide you with directions and direct you to your booth locations.

PLEASE NOTE: Odd-numbered booths will need to enter the event area from MN-7 West. Even numbered booths will need to enter the event area from MN-7 East.

Additional Details: 

  • Block Captains in orange vests will take you to your booth location upon arrival
  • Vehicles are permitted in the event area for NO MORE than 15 min. 
  • Volunteers are available to help unload your vehicle and exit the area quickly
  • There will be a piece of masking tape on the street with your booth number labeled. Place the inside leg of your tent on the tape. Tents will be touching and make a quad shape. 
  • Parking is available at Excelsior Elementary School. From Water Street, drive straight. Turn left on George Street (by Wells Fargo Bank). There is also parking available at Mount Calvary Luthern Church, and the parking lots behind the buildings on Water Street. 
  • A shuttle will be running around the event area. If you need the shuttle to pick you up from your parking location, please let the shuttle driver or block captain know and tell them where you are parking.

Load-Out

Load-out will begin at 6 AM on Sunday, September 18. No vehicles will be allowed in the area until this time. To load-out, your tent and display must be fully taken down. Once you have taken down your display, your may bring your vehicle into the event area. PLEASE ENTER THE AREA IN THE SAME WAY YOU DID FOR LOAD-IN. Volunteers will be available to assist with loading your vehicle. Please exit as quickly as possible. 

What do I need to be prepared for this load-in? 

You will be provided a clipboard with the map of the area, a list of artist names and corresponding booth numbers, and a walkie-talkie. As a booth caption, you will escort each vehicle to its booth number. Please remind them to place the inside of their leg on their numbered piece of masking tape.

Where can artists park? 

Excelsior Elementary School or the West or East Lots or Mount Calvery Luthern Church. A shuttle is provided for those who are unable to walk or need assistance. Please let the artist shuttle driver know the location pick-up over the walkie-talkie. 

What time do artists need to be prepared for the fire inspection? 

Artists need to be ready for inspection at 11:15 AM. They do not need to have their entire display finalized, the inspector will be checking that there are 35+ lbs of weight on each leg secured correctly (no bungee cords, etc).

What hours is the show? 

Friday: 2-6 PM, artists can stay open until 8PM. They do not need to inform the event manager. 

Saturday: 9 AM- 4 PM, artists can stay open until 8PM. They do not need to inform the event manager. 

When is load-out? 

Sunday: 6 AM-9 AM

Artists may load out Saturday evening, however, they will not be allowed to bring their vehicles into the event area, and no shuttle will be provided.

---------------Artist Shuttle Instructions: ---------------

 

What is the artist shuttle? 

The artist shuttle is a golf cart provided to you that you will use to pick up artists from around the event area. 

What are my obligations during my shift? 

You will be driving around the event area surveying for any artists that need a ride. Artists will be parking in the Excelsior Elementary Lot directly behind the library, or the East and West Lots.

---------------Artist Liason Instructions: ---------------

 

What is an artist liaison? 

An artist liaison is there to answer artist questions and watch booths when artists need a break. You are there to help support artists throughout the show.

What are my obligations during my shift? 

Each artist will be given a small flag during load-in. When an artist needs a break, they will secure their flag to their booth. You will be continually walking around the show area and keeping an eye out for flags. Each artist will give you specific instructions on how to manage their booth while they are on their break. Each break should be no more than 15 min. You are NOT allowed to make any sales during this time.

---------------Stage Hand Instructions: ---------------

What is a stagehand? 

You are there to help facilitate band setup and teardown.

What are my obligations during my shift? 

Each band will be directed to unload their equipment backstage along Water Street and Lake Street. You may ask to help unload if need be. You will help keep the greenroom directly behind the stage stocked with water and snacks. You will assist an Apple Day committee member with any tasks they may need. Once the band begins playing, you may be asked to help with additional tasks around the event area.

Where do I pick up my t-shirt and my drink tickets? At the event, there will be a table set up in the Modus Advisors Beer Garden tent on Water Street near Lago Tacos. Please find a volunteer in an Apple Day shirt and they will direct you to the check-in location. Your volunteer drink tickets will be given with the t-shirts and are for use after your shift.

Where is the best place to park? The event draws a great crowd – please arrive early for street parking or in any lot. We also recommend 106 Center Street, Excelsior, MN, 55331 lot.

 

Where are the bathrooms? There are portapotties in the empty lot next to the Excelsior Dock as well as by Excelsior City Hall and Sweet Nautical Boutique on 3rd St. 

Where is the lost and found?  Modus Advisors Beer Garden.  You can leave your name if they do not have it in case it gets turned in. 

Where is the first aid kit? We have a basic kit with bandaids, etc. at the beer garden tent – beyond that please call 911.

 

Who do I call if there is a major problem/emergency? If there is an emergency regarding the safety/health of guests or vendors, please call 911 and THEN call Carolynne Telford, 970-342-3083 immediately after.

---------------Beverage Garden Questions: ---------------

Where do guests purchase drink tickets? There will be an ID check and ticket sale tent adjacent to the Bev. Garden, guests MUST have wristband and tickets to get drinks. Only two drinks per guest at one time.

How much are drink tickets? Drink ticket = one drink is $8 or 5 tickets for $35. If someone wants to redeem 6 tickets at one time, there must be at least two other people with a wristband picking up the beverages with them. Please remind them of this and adhere to this.  

How do I handle if someone wants more than two drinks at one time? Kindly remind them it’s a community event run by the Chamber and it is our policy for our pop-up bars, we comply with the South Lake Police to let us have this special event.  Otherwise defer them to Carolynne Telford or Tiffany King. 

What are we serving? Beer, wine, hard seltzer, cider. Refer to the banners and menus posted on the bar for brands & options. See the menu above.  

What should we be paying attention to on the ID check? Per the training with South Lake Police Department, here are some key things to pay attention to with ID check:

  • Photo matches the person handing you their ID
  • Birthday is on or before September 16 or 17 (respectively), 2001
  • Legal ID (State, Passport, Tribe, Drivers License, etc) 
  • Remember to check the back of the ID – we cannot serve to patrons with alcohol related restrictions

Clear cups or red solo cups? The clear cups are to be used for 5oz wine pours while the red solo cups are to be used for beer pours. White Claw and Loon Juice Cider are both served in a can, you MUST crack the can for the guest. 

What do I do if someone seems over-intoxicated? Offer them water and to come back later. If they begin to get unruly, refer to your Carolynne Telford or Tiffany King. While serving everyone, make eye contact and generate conversation with them! It’s meant to be fun and help us monitor consumption. 

When is the last call, what if someone doesn’t use their ticket? On Friday ticket sales end at 9:30pm and we will be done serving at 9:45pm and on Saturday ticket sales end at 9:30pm and we will be done serving by 9:45pm. Drink tickets are not refundable, they are purchased as a donation to help make the community event happen.
